Meeting Minutes PRESENT: John Burke, Hanteng Dai, Kathleen Fish, Marisa Newnam, James Shull , Daniel Hays, Sharon Zielinski, Jim Schwab ABSENT: Javier Perfecto , Richard Van Orman , Kay Pendleton CALL TO ORDER: Meeting was called to order by Hanteng Dai at 4.05 p.m. with a roll call and a quorum (given Frankie Bell, William Hanable , and Hazel Patton resigned) . Minutes: Approval of Minutes from the June 14, 2004, regular board meeting of the Marion Cultural Development Corporation was as submitted with changes. Approval of September 14, 2004 as submitted. Scott Palmer the State of Oregon Cultural Trust Manager gave the committee an update of the trust. Scott told the committee he has been to visit 27 cultural trust’s county in Oregon in the past 4 months. At this time the trust has 880 donors and just over ½ million in donations. He expects donations to pick up in December. The goal this year is $3 million coming from 7,000 donors. He stated that a large number of donors are important to allow the trust to continue and give it more support during the upcoming legislative session. Last year the trust had 4,500 donors that gave a total of $1.7 million. Scott felt that the dollar amount is not as important as the total number of donors to the trust. This will show the legislature that the trust has a large number of supporters. Scott answered questions from the committee and listened to suggestions such as involving Tax advisors and solicitation of Art Patrons. Committee Reports: 1, Finance & Budget Committee: Chair, John Burke, circulated financial status reports of MCDC as of December 1 st , 2004. John reported that the 503(c) expenses are almost done. The committee discussed the need for a Fiscal agent, which gives a layer of confidence. John reported that we would have approximally $8,500 to award in grants. President Report The committee discussed the need to replace the board members that have resigned. The committee discussed adding to the board accountants and business leaders from the community. It was brought up that there were people that had volunteered for the board when it was formed and we should look at these people. The committee agreed to e-mail any suggestion on potential members to one another. The committee discussed member’s attendance to date. A motion was made, seconded, and passed that if a committee member had two or more unexcused absence then they would be asked to resign from the MCDC board. The committee decided to wait until the next meeting to fill the VP positions. Cultural Inventory Committee Chair, Jim Schwab Jim reported that Eric, the Marion County Webmaster, told him that Marion County would not be able to maintain our web site. Jim has made application to open.org at the Salem library to host our Web site. There is no cost involved since we will have 503(c) status. The committee selected Marionculturaltrust.org as the domain name. Jim reported that it would cost $9.00 a year for our domain name. The committee approved the expense. The timeline for change over the web site to the Salem library is mid January. 3. PR & Communications Committee All the communication committee members have submitted their resignation. At this time the positions remain empty. The board decided not the fill these positions at this time. 4. Grant program Committee - Chair Jim Shull Jim Shull will have the grant application ready for the web site in January. To apply for a grant you must be a 503(c) organization. The board agreed that it is important to get the grants out as soon as possible. The time line agreed by the committee is to start taking grant application in February and run until April 15 th and award the grants by June 30 th .
