Special Work Session Minutes: June 18, 2003

 

Present:  Chairman Elisabeth Potter, Treasurer Richard Van Orman, Ann Altman, Frankie Bell, Hanteng Dai, Chuck Fisher, Antonia Jenkins, Thomas Kneeland, Sue McCracken, Jim Schwab, and Leslie Coleman Zeigen. 

 

Review of revised draft survey

     Richard presented the mock-up of the public survey questionnaire thoughtfully produced by Karen, and the group made many suggestions based on growing sense of how each part of the planning process should work together.  Among things decided after some discussion was that, to gain space for more larger font, etc. the sheet size could  be increased to 82 x14 inches and include the logo and Web site address: commissioners.co.marion.or.us/culturalcoalition.

     The e-mail address is operational:    It is accessible from the Web site at “contact us” and messages will come to Sue to be forwarded to the proper person.

    Elisabeth brought the discussion to a close and asked that Richard’s Action Plan working group meet to complete revision of the survey questionnaire with the understanding that the printed work must be in Sue’s office to be picked up for the World Beat event on Friday afternoon, June 27.

 

Inventory

     Jim and Leslie distributed the inventory registration form with incorporated fact sheet to be handed out, mailed or otherwise delivered to arts groups and interested individuals to verify and correct information as well as to collect new information.  The Yamhill County group’s form was used as a base and modified for our purposes.  The group worked on the form and committee members should e-mail Jim with any further changes they want to suggest.  There was consensus that question #5 from the public survey should be included in the registration form.

 

Events

    Salem Art Fair –  The hours of the fair, July 18-20, are 10 a.m. to 8 p.m. on Friday and Saturday and 10 a.m. to 6 p.m.  Sunday.  Chuck sent around a sign-up sheet for two-hour shifts.  There should be at least two people each shift.  Committee members should e-mail Chuck with shifts they would like to fill. Sue said that Christine believes some of the OCT board members will also take shifts.  Their meeting is Thursday. 

     After discussion about whether to rent a tent for $100 or buy one for up to $200 at Costco that we could use at other events as well, Ann agreed to scope out prices and types of tents and report back. 

     The general outline of a banner with the logo and the Web site address was agreed on; Chuck and Sue will create it and Chuck will find a vendor and order it.

     Elisabeth will confirm with the fair that we will participate.  She is assuming we will bear the entire cost to the level authorized during the last meeting (not to exceed $300).

    World Beat -  Hanteng agreed to coordinate our participation at World Beat June 28-29 and sent around a sign-up sheet for two-hour shifts.  Committee members should e-mail Hanteng at hanteng.dai@state.or.us with shift times they would like to take. Ann said that Christine will obtain a colorful Oregon Cultural Trust backdrop panel to use.

     The committee meeting was adjourned at 6:20 p.m.   Date of next regular meeting: July 2, 2003.
